Arbiter Account Mgmt How To Procedures

Initial Log In – Your email account is your way in to the system.  At initial log-in, you need select a password.  Arbiter does recognize secure passwords (alpha, numeric and special characters) If you forget your password, the initial log-in screen has a clickable for getting it sent to you.  SCRA can not help you in re-setting a password.

Initial Screen – Below is a screen shot of what you’ll see when you first log in.

Your first step is to click on “Information” and validate all the information is correct. See below screen shot.  Please be sure and click so that you information is public to other officials; this way they can get your email and phone numbers to contact you.

While in the Information screen area, click on “Phones” and validate them.  See screen shot below.  Please note you can move your phone numbers up and down by using the arrows; this will be the order your phone numbers are displayed for other Referees to see. Be sure to select yur cell phone carrier. If you do not do this Arbiter will NOT send you text messages about your assignments and any changes to them

The “Misc Field” area will show you what your Referee rating is; this is used to determine your game level assignments as a Referee (Ctr)

The most important screen for you to know how to use is the Calendar.

This is how you let the Assignor know when you’re available to be assigned games.  The logic is you BLOCK when you’re not available.  All new Referees get their schedule blocked 100% through 12-31.  You then unblock your schedule for when you know for sure you are available.  So, let’s take a look at a screen shot.

There’s a lot of important information needing to be reviewed so let’s start with Action(s):

  1. The default is “View Scheduled” under Action – you get to see what is set for an individual day.  The screen shot has the date 02-22-09 selected and the info shows below the monthly calendar view.  Please note a partial day block has been applied
  2. The Legend explains what the colors signify.
  3. To make yourself available All Day, under Action, click on Clear Blocks.  Then click on the date(s) you are available All Day.  Only do this for dates you know for sure you are available All Day.
  4. If you are only available “Part Day”, follow step 3. Above to remove the Block.  Then click on “Block Part Day” and under Time Range, select the From and To range you are NOT available.  Then click on the date you want this to apply.  Please note you can have multiple Partial Blocks on a single day, but the more constraints you put on availability, the less likely you will be assigned games.
  5. To see what you have selected, under Action, select “View Schedule” and then click on the date you’re interested in seeing/confirming.  The Assignor will assign games to you based on your calendar of availability.  If you availability changes, log in to Arbiter and change it as soon as you know or else you may be sanctioned with a game decline/turnback penalty (nobody wants this).  We recommend you only open up dates as you know them to be available for sure.

For Referees who belong to other Sports Assn’s that also use Arbiter (such as High School)

You need to manage your calendar across those organizations so that you don’t show yourself being available to both at the same time.  The calendar screen shot below also shows the High School Group number of 101349 whereas South Coast Referee Assn is 103452.  The default is that all Groups are synchronized for calendar actions.  You need to unclick the Group you don’t want to change, then make your calendar changes.  Once done, then re-synchronize by clicking all groups.  Then click on “View Schedule” to confirm it’s what you want.

More About The Calendar

There have been questions regarding when Refs should pick for times with availability.  How it works in Arbiter is it factors in travel time from your zip code to the destination zip code which for most people would be 20 - 30+ mins for our Fall 2009 fields.  It also factors in that you need to be at the field 30 mins before game time.  So, as an example, if you say you're available at 12 noon, the earliest game time you would likely be assigned would be a 1:00 pm game.

For those of you who have been say listing 1:00 pm to start meaning you could be at a field at 1:00 pm; you need to actually list 12 noon as your availability time which means you could be at the field at 12:30 pm.

We also continue to get people with turnbacks where they say they forgot about some function or another or the work schedule now has a conflict.  Guys and gals, leave your calendar blocked unless you know for sure.
